Covid-19 affected travel and Cancellations:
Where a customer’s travel plans have been severely affected or need to be cancelled due to travel restrictions as a result of Covid-19. Interstate Border closures in place or announced, HV Car Rentals will NOT refund BUT will offer full credit to reschedule your booking for a later date.
21- 80 years. Drivers between 21 and 24 are subject to a daily young drivers surcharge and higher excess rates.
You will need to bring an international driver’s license if your license is not in Roman Alphabet (i.e Arabic, Greek, Russian or Chinese). International driver’s licenses must be accompanied by the original domestic driver’s license.
If you are living within Australia a second form of Id that has your current address may be asked for if your driver’s license does not have your current address on it. We reserve the right to refuse a rental if you are unable to produce proof of your current address.
Only drivers who have presented their driver’s license and who are recorded on and signed the rental agreement may drive the car. An additional driver fee of $20 applies to each additional driver. We allow up to two additional drivers.
All our vehicles are insured. Insurance for rental cars is very different to insurance available for privately owned and riven vehicles. The excess charged by insurance companies for rental cars is much higher than for privately owned vehicles and hence this cost is passed onto the consumer. We do offer excess reduction packages that will reduce your liability in the event of an at fault accident.
It is our policy to take the excess chosen in the event of any accident. If you are not at fault and have provided all the necessary information to locate and identify any other drivers involved in an accident with one of our rental cars, we will refund the excess once our insurance company has agreed no excess is deemed payable.
In the event of a single vehicle accident that has resulted in minor damage to the rental car that would be less than the excess amount chosen, you have the option of continuing to rent the car and have the vehicle repaired at reputable repairer. An accident report form must be filled in and all damage must be inspected by us prior to the car being repaired. The vehicle must be repaired to a standard that is acceptable to us.
In the event that you elect us to have the vehicle repaired on your behalf, an administration fee of $110 plus lost rental days will be charged on top of the amount of the damage repair.In the event that you have excess cover insurance from a third party provider, the credit card holder will be required to present their credit card at the rental desk and a minimum bond of $500 will be charged.
Extras such as baby seats and GPS units are available for hire. They are to be returned in a clean and operable condition. We reserve the right to withhold funds from any bond paid if any extra items hired are lost or damaged.
We accept Mastercard and Visa card only. Credit cards must be in the name of the main driver of the vehicle. We do not accept prepaid credit cards. In the event that you fail to present a valid credit card or there are insufficient funds available on the credit card, we may refuse to release the vehicle.
A bond is charged on booking for all rentals. The bond amount varies according to the level of insurance cover you choose. Our cancellation policy is enacted once the bond is taken and you are provided with a copy of our cancellation policy in our booking confirmation email. Bonds are refunded at the end of the rental and cannot be used to extend the rental. Depending on your bank, bonds can take up to 21 working days to reach your bank account.
Booking and Cancellation Policy
Bonds are taken on booking to guarantee the availability of your chosen vehicle and are refunded at the end of the rental. All rental fees are paid at the commencement of hire and are subject to final audit at the end of the rental. If picking up from our airport depot, rental fees are taken 24-48 hours in advance.
The following Cancellation fees apply.
Greater than 7 days – no charge, within 7 days – $50 charge, within 4 days $100 charge, Within 48 hours – deposit forfeited – full rental fees apply.
If booked for pick up during Peak Season Dec 01 – Jan 31, Grand Prix weekend, Motor GP weekend, Public Holidays and Easter, we may ask for the full amount to be paid at time of booking confirmation. No refunds for cancellations during those peak periods will be given. You can defer your booking for up to 3 months if you have a change of schedule within 7 days from the collection date (This does not apply during Peak Seasons of Xmas & Easter).
Interstate Travel and Area of use
If you intend to travel interstate restrictions and cross border charges may apply. Use of our commercial vehicles is restricted to Victoria only. Taking a vehicle interstate without prior approval is a breach of the rental agreement.
Roadside assistance is included free of charge with all our rental cars.
Unlimited kilometre packages within Victoria and for interstate travel are available. Our standard rental rates include up to 200 KMs per day. Extra KMs are included with our excess reduction rates.
Void Insurance cover
Damage to Tyres Rims and hubcaps maliciously or recklessly driven into the gutter and pavement. Improper use / Negligent driving and violation of traffic rules or rental conditions will void your insurance cover.
Where possible our cars come with a full tank of petrol although they may not necessarily be full when you pick them up. Our policy is that you return the car with the same amount of fuel that you picked it up with. The fuel in the car is recorded on both the agreement and the damage report prior to your rental.
All our cars are fitted with E-tags for your convenience. In the event that you use a toll road, the amount of the toll plus a daily service fee of $3.30 will be charged to your credit card by the toll road provider. No fees are charged if you do not use a toll road. You are unable to use your own E-Tag or add the vehicle to your account. If you do so, this will result in you being charged twice for the toll.
